However, ClickUp’s real ace in the hole is its collaboration tools.

I found ClickUp easy to navigate with well-placed menus. It’s easy to switch between views, create reporting dashboards and configure integrations and automations. All the tools feature an intuitive drag-and-drop mechanic, and the live collaboration tools are user-friendly and work across multiple platforms, such as desktop, web and mobile. Apart from one or two tools, like mind maps, which have a learning curve, ClickUp is straightforward to use.

Thanks to its unmatched sprint support and project templates, Jira is ideal for teams focused on software development, engineering, operations and IT. The free plan, suitable for teams of 10 or fewer, allows you to track projects and sprints with Scrum and Kanban boards, calendars, timelines and lists and use backlogs. Scrum masters and product owners can also view key metrics on customizable dashboards.

I appreciate that Jira seamlessly integrates with Confluence, which makes collaboration simple and offers integrations with platforms. Teams can automate repetitive tasks and workflows with the automation builder.

The free plan also offers AES-256-bit encryption and single sign-on (SSO) support. Jira’s paid plans, which operate on a sliding scale (the more users you have, the cheaper it gets), start at $8.60 per user per month (price based on 100 or fewer users).

I’ll be honest with you and say that Jira is not a looker, nor is it the most intuitive platform for teams with little experience with software development. There is a lot of complex terminology used throughout Jira. However, teams familiar with development and IT will find Jira easy to navigate, configure and use.

Creating user stories with points and adding them to a sprint or backlog is straightforward and tracking progress is easy with Jira’s suite of task management tools. If you’re considering using Jira for Kanban-based projects, you can certainly do that, but I suggest you look at its sibling, Trello, as it offers a much better Kanban experience.

Teamwork’s free plan offers myriad features. You’ll find task management tools, which include lists, Gantt charts that support dependencies and Kanban boards (limited to three boards with 10 cards) that support custom fields. Additionally, you’ll find a document editor, invoices, dashboards, integrations, desktop apps and iOS and Android applications.

It’s a shame that the free plan only supports five users and external guests with limited permissions. If it supported unlimited users, it would rival ClickUp for the top spot on my list.

Teamwork’s interface is visually appealing. I found it easy to zip around the platform, and the tools were as smooth as silk in the web, desktop and mobile applications. Creating projects, adding tasks with custom fields, assigning users and due dates and configuring integrations and automations is hassle-free. There’s nothing complex about the platform. Teamwork.com gives monday.com a run for its money regarding ease of use, which is high praise.

If you’re having trouble finding project management software that works as you need it to, Coda could be the solution. At first, Coda will be overwhelming due to the myriad ways you can customize your workspace. Still, after a short while, you’ll create views with connected workflow tools, collaborative documents, reports and timelines. Coda supports automations and integrations, and the free plan lets you upload 1GB of attachments and try its powerful AI tool.

Coda’s pricing is unique in that you only pay for document creators, which would make it pretty affordable for small teams. For example, a team of 25, with one document creator and 24 editors, would cost between $12 and $36 per month (billed monthly), depending on the plan.

However, the costs can jump quickly should you require more doc makers. So, SMBs should plan to ensure they can afford the increase in costs if they need to scale.

Coda’s customizable workspaces open up a world of possibilities.

When you first launch Coda, you’ll be greeted with a blank canvas and very few instructions on how to get started. However, after fiddling around for a short while, I created a collaborative workspace with task management tools, reports, timelines, collaborative documents and calendars. Coda’s light and airy design may not appeal to everyone, but it should not stop those new to the platform from finding their way around its various tools and features.

Notion is the ideal project management solution for marketing teams and content creators, thanks to its class-leading collaborative documents, forms, wikis and web publishing tools. Its free plan, which supports three users and 10 guests, allows you to manage projects and tasks with subtasks and dependencies on Kanban boards, timelines and calendars, create open and closed workspaces for different teams and publish unlimited pages on the web.

Notion’s free plan allows integrations, lets users create basic automations and provides users with templates that can help get your project or website up and running quickly. Notion has a lot in common with Coda, including project and task management and document creation; however, instead of all tools being in one collaborative workspace, Notion segments tools, which leads to a much flatter learning curve.

I found it easy to create and share documents, build projects with multiple tasks and visualize data with Notion’s various reporting tools. Notion’s interface is a little dull, but it is clean, making navigation a breeze.

If you’re a Google Sheets and Microsoft Excel fan, you will feel at home with Smartsheet, a project management platform that leans heavily on spreadsheets. Smartsheet’s ability to link cells across sheets makes it ideal for project teams that handle complex datasets, such as those in manufacturing, IT, construction and financial fields. However, Smartsheet is more than a one-trick pony; it also offers card (Kanban), calendar and Gantt chart views.

Smartsheet’s Kanban board isn’t the most intuitive, but it does the job.

During my time with Smartsheet, I found navigation straightforward and its sheets incredibly powerful. However, its Kanban board and Gantt chart were less intuitive than those found in competing platforms, such as ClickUp and Zoho Projects, due to poor design. Still, it didn’t take long for me to create projects, assign users and due dates, and manage large datasets.

The automation builder, while functional, has a learning curve, but setting up integrations was simple. If you put some time into learning Smartsheet, I think it will serve you well.

I have been recommending monday.com’s free plan to startups and new teams for years due to the platform’s gorgeous interface, which makes monday.com a joy to use. The free plan includes over 200 project templates that help get projects started quickly, collaborative documents, a customizable dashboard, access to mobile applications and Kanban boards that make task tracking a piece of cake. The free plan also offers unlimited messaging and two-factor authentication.

If monday.com offered as many task management tools (such as Gantt charts and lists) as ClickUp and Teamwork, it would be much higher on my list. Still, if all you need to do is track simple Kanban-based projects, monday.com will suit you well.

The downside to monday.com’s free plan is that it only supports two users. However, the paid plans are affordable, ranging from $12 to $24 per user per month. There’s also a customizable enterprise plan that varies in price depending on team size and features. The plans do have a three-user minimum requirement. Keep this in mind when planning finances.

There’s no easier project management platform to use than monday.com. A navigation panel on the left takes the guesswork out of navigation, and thanks to a persistent toolbar along the top, switching between tools takes seconds.

Every tool on monday.com uses a simple drag-and-drop mechanic, making it very intuitive. The software is also bright and colorful, which makes it a joy to use. New teams can be up and running in minutes with monday.com.

If you use numerous software platforms to help run your SMB, you must pick project management software that will play nicely with them. Asana’s free plan offers over 100 integrations with platforms such as Microsoft 365, Slack, Dropbox and Mailchimp.

In addition, the free plan supports 10 users, unlimited projects, comments, assignees, due dates, messages, tasks and storage and allows users to manage tasks on boards, lists and calendars.

The free plan also provides access to Asana’s mobile applications. However, if you use Android devices, you might want to temper your expectations, as I experienced a lot of lag during testing.

You’ll also find recurring tasks and basic reports. Users can also set two-factor authentication policies and rest easy, knowing that Asana uses 256-bit encryption at rest and in transit and provides cross-region data backups.

You can enter one of Asana’s paid plans if you outgrow the free plan. When billed monthly, prices range from $13.49 to $30.49 per user, making Asana a little more costly than competing solutions.

Like monday.com, Asana is a polished platform that will not give project teams any headaches. Asana’s web and desktop applications work flawlessly, and mobile applications are more than serviceable when you’re away from the office.

Project creation can be simplified with templates, and I found communication with Asana’s messaging inbox effortless. Overall, Asana is straightforward and should pose no problems for its users.

If the Zoho ecosystem of business software interests you, and you only need software to help your small team manage simple projects, Zoho Projects’ free plan will interest you. It supports five users and two projects and includes a handful of robust tools such as Kanban boards, Gantt charts and calendars for task tracking, reporting dashboards and an issue tracker. Additionally, you can use collaborative whiteboards and a powerful live chat tool.

Zoho Projects’ free plan can integrate with three other Zoho platforms, Zoho Sprints, Zoho CRM and Zoho Meeting, and can connect to a few well-known platforms such as Slack, Dropbox, Microsoft Teams and Microsoft 365.

If you’re worried about scaling, don’t be. Zoho Projects is one of the most affordable project management solutions available. Paid plan prices range from $5 to $10 per user per month when billed monthly.

Zoho Projects won’t win any awards for its aesthetics, but it would be in the running for the prize of most functional platforms. Zoho Projects has a simple layout, with a navigation bar on the left and views tucked neatly away in a drop-down menu along the top. It didn’t take long for me to have boards and Gantt charts up and running, integrations configured and messaging working across platforms (web and mobile).

If Kanban boards are your jam and you need to track simple workflows or processes, I recommend Trello. Trello’s free plan supports 10 users and has unlimited Power-Ups (integrations), task cards, activity logs and file storage, though a file size limit of 10MB exists.

You’ll also find project templates, automations, mobile applications and support for two-factor authentication and mobile device management (MDM) that can help secure your data.

Unfortunately, if you need access to custom fields and unlimited boards, you must move into Trello’s paid plans, but fear not—Trello won’t break the bank. Paid plans start at $6 per user per month and increase to $12.50 per user per month (billed monthly). Should you need Trello for more than 50 users, you’ll need to migrate to the Enterprise plan, which is billed annually at $210 per user.

I found it easy to add descriptions and assignees, due dates and files to task cards, and the commenting system, while basic, works flawlessly. Configuring integrations is straightforward, but Trello’s automation builder has a learning curve. Overall, SMBs will be able to hit the ground running with Trello.
