Clean and functional are two words I would use to describe ClickUp’s interface. Well-placed navigation and tool menus make it easy to zip around ClickUp’s various tools and features. Creating tasks takes seconds, and adding custom fields, uploading files, and configuring integrations and automations is hassle-free. Some advanced tools, such as mind maps, have a learning curve, but, for the most part, users will get to grips with ClickUp quickly.

Teamwork.com is one of the best-designed task management platforms; it easily beats ClickUp in the looks department. Its Gantt charts and lists work flawlessly, which is great because the 10-card limit on Kanban boards is not ideal. In fact, the Kanban board limitation may make Agile teams think twice about using the free plan, but the unlimited use of lists and Gantt charts will appeal to those who use traditional methodologies such as the Critical Path Method.

I found Jira easy enough to use. Its Kanban and Scrum boards are customizable, so you can make workflows that suit your project. Assigning team members, due dates and story points to user stories is also simple. Jira won’t win any design awards, but navigating between features never took more than a few clicks. One thing that might trip up some users is the terminology used in Jira. Jira is geared toward Scrum, so your head may start spinning if you’re unfamiliar with story points, epics, sprints and backlogs.

Unlike other platforms, such as ClickUp and Asana, which have workspaces ready to go, you must create your ideal workspace from scratch, which is both liberating and overwhelming. Still, once you get the hang of how to implement task-tracking tools and collaborative docs, there will be no stopping you. After roughly 30 minutes, I was able to create a collaborative workspace with docs, reports and task management tools that suited my needs. Spend some time with Coda, and your SMB team will soon understand just how beneficial custom workspaces can be.

Smartsheet’s interface puts function over form, which is fine, but its clinical looks are a far cry from the bright and cheerful interfaces of monday.com and Teamwork.com. Looks aside, I found it easy to navigate Smartsheet and its spreadsheets are unmatched in their abilities. However, Smartsheet’s Gantt charts and Kanban boards leave a lot to be desired. They’re not the most intuitive, especially regarding customization. Still, if you prefer to use spreadsheets to get work done and want a collaborative platform, you’ll appreciate what Smartheet offers.

Teams with no project management software experience will not face any major hurdles when using Zoho Projects. You can get where you need to be within a click or two, and creating tasks takes no effort due to the simple task creation tool. My biggest gripes are that views are located in a drop-down menu rather than being front and center in a navigation bar and that Gantt charts are read-only in the free plan. Zoho Projects’ free plan is not as feature-dense as ClickUp’s or Teamwork.com’s, but those seeking Kanban boards will find little to complain about.

Notion’s collaborative documents are the best in the project management space.
While Notion and Coda have a lot in common, I find Notion more intuitive. Notion compartmentalizes its tool, whereas Coda throws all features into one collaborative workspace, which can be confusing. Notion’s boards, timelines and calendars are straightforward. Within 10 minutes, I had a sprint process in place and task cards assigned to users. I also appreciate that collaborative documents can be customized to your heart’s content. There’s nothing complex about Notion, it’s just a shame it places heavy user restrictions on the free plan.

Asana’s other ace in the hole is its ability to integrate with over 100 applications natively. Asana’s no-fuss integration manager allows you to connect nearly instantly to Microsoft Teams, Slack, Microsoft 365, multiple Google apps, ServiceNow, Canva and Figma, to name a few.

Rolling out Asana to your team will pose no difficulties as the software is user-friendly. Adding tasks with due dates, assignees, descriptions and other details on boards, lists and calendars is painless with the well-designed task entry form. Creating recurring tasks with the automation builder is also straightforward. Asana recently added collaborative notes. While they’re not as powerful as those found in ClickUp, Notion and Coda, they’re a nice addition. If Asana adds Gantt charts and custom fields to the free plan, it would challenge the leaders of the pack.

For years, I have steered new teams toward monday.com due to its ease of use, beautiful user interface, customizable boards and 200-plus customizable templates. Whether you work in finance, marketing, content production, sales, software development or many other sectors, you’ll find templates that can configure your project and set you up for success. Unfortunately, monday.com’s free plan is feature-light, but the available tools are high in quality.

In my opinion, there’s no easier project management software to use than monday.com. The bright, colorful interface is a feast for the eyes, and the expertly placed navigation and tool menus allow you to zoom between tools and features. Creating boards and task cards takes no time and getting projects up and running with templates takes seconds. It’s such a shame that monday.com’s free plan is more demo-like compared to almost every other free plan listed. A few more tools that show what else monday.com can do would go a long way.

I enjoyed using Hive’s customizable Kanban boards.
Hive is a robust task management tool that many SMBs will appreciate, thanks to its pretty interface and intuitive drag-and-drop tools. I honestly can’t find much wrong with the free plan. It’s ideal for those managing simple projects. The issue with Hive is that many tools—including capacity planning, image proofing, timesheets, workflow automation, advanced analytics and advanced security tools—cost an extra $5 per user per month to use on top of your monthly plan rate. I can’t help but feel that Hive becomes a cash grab when you move into the paid plans.
Methodology
Software testing is a serious business. So, to give software platforms a fair trial, I use our proprietary rubric to help rank multiple features. For the best free task management software, 26 platforms were chosen, and 56 features across nine categories were analyzed. I then tested the top 10 platforms, and each provider was awarded a final score.
